Terms of Service
The agreement between TacLine LLC and the agencies that use ONE Travel OS.
- Applies to
- Agencies and the advisors they engage
- Effective
These terms are the agreement between TacLine LLC (“we”, “us”) and the agency that subscribes to ONE Travel OS (“you”, “the agency”). They cover the software, not travel: we do not sell travel, book travel, or hold anyone’s money for a trip.
If you are a traveler who was given a portal code by an advisor, these terms are not yours; the privacy notice for households is.
1. What ONE Travel OS is
ONE Travel OS is a system of record for a travel agency.
Bookings happen where they already happen: in supplier portals, in a GDS, in consortium tools. ONE Travel OS records what was booked, tracks the deadlines and the commission you expect, reconciles the payments suppliers actually send, and works out what each advisor is owed. It also stores your household and traveler records, your supplier credentials, your correspondence where you connect a mailbox, and the documents you attach to any of it.
It is not a booking engine, a merchant of record, or a travel agency. We have no relationship with your suppliers, we do not touch inventory, and we are not a party to anything you sell. Where ONE Travel OS shows a commission as expected, a deadline as approaching, or a payout as due, it is reporting what your records say, not making a promise about what a supplier will pay.
2. Your account, and who is inside it
Your subscription covers one agency. Within it you create users, each an administrator or an advisor, and the difference decides what they can reach. Every record in your agency is scoped to your agency, and no other agency on the platform can read it.
You are responsible for who you let in and what they do once they are there. That includes advisors you engage as independent contractors: their access is granted by you, and their use of ONE Travel OS is your use of it under these terms.
Two things about who can sign in:
- Two-factor authentication is on for administrators by default. You may turn it off for your agency. We think you should not, and if you do, the consequences of an administrator account being taken over are yours.
- Credentials are yours to keep straight. Sign-in details are not to be shared between people. An advisor who leaves should be deactivated the day they leave.
Support access to your account
We can look at your agency’s data in two ways, and both leave a record.
Impersonation. A platform administrator can view ONE Travel OS as one of your users in order to reproduce a problem. Doing so requires a stated reason, expires after thirty minutes, and writes an audit record of when it happened, why, and what was opened.
Direct access to the database and the servers, which is what running the software requires. This is limited to the people who operate the platform.
We do not read your household records, correspondence or financial data for any purpose other than operating ONE Travel OS, supporting you, and complying with law. We never use them to train models, to build a product, or to sell anything.
That covers us, not every outside service we use: where you enable document parsing, the booking confirmations you send to be read may go to a vendor whose own terms permit it to use them to improve its services; which of two vendors reads them is our choice, made for every agency at once. Commission statements go only to the other one, whose terms bar it from training on them. The DPA section 3 names that exception and bounds it, and the AI disclosure explains it in full.
3. Your data is yours
You own everything you put into ONE Travel OS: your households, travelers, trips, bookings, commissions, payouts, documents and correspondence. We hold it to run the service for you and for nothing else. The Data Processing Addendum binds us to it.
You can get it out. While your subscription is active, ONE Travel OS exports household lists, receivables, production and an accounting export as CSV, and payout statements and 1099s as PDF. If you need a full copy of your agency’s data in a form the app does not offer, ask and we will produce one.
We delete it when you go. See section 12.
4. What you are responsible for
You decide what personal information goes into ONE Travel OS, whose it is, and why. That makes you the business (the controller) and us your service provider. Four things are yours:
- Telling the people whose data you hold. You need your own privacy notice, published, before you collect anything. We provide a template to start from. It is a starting point, not a compliance product, and it is not legal advice.
- Having a reason to hold what you hold. ONE Travel OS will store a passport number, a date of birth, an emergency contact, a dietary requirement and an accessibility need, because trips need them. Whether you should be holding a particular one for a particular person is your call, not the software’s.
- Answering your own households. A request to see, correct or delete personal information goes to you. We will help you answer it, under section 7 of the DPA, but the obligation is yours.
- Your suppliers’ terms. ONE Travel OS stores supplier portal credentials so your advisors do not keep them in a spreadsheet. Whether a given supplier permits you to store or share their credentials is between you and them.
5. What you may not do
- Put data in ONE Travel OS that you have no right to hold, or use it in a way the people it describes were never told about.
- Reach, or try to reach, another agency’s data.
- Probe, load-test, scrape or reverse-engineer the service, or work around its access controls, rate limits or tenancy boundaries.
- Resell ONE Travel OS, or run it as a service for agencies that are not yours, without our written agreement.
- Store payment card numbers. ONE Travel OS refuses the ones it can read: notes fields and outgoing mail are scanned, an uploaded file is scanned wherever it has text to read, and a save, a send or an upload containing a card number is rejected. A file whose text we cannot read is not checked: a photograph, a screenshot, a scan with no text in it, a password-protected document. Acceptance is not a sign that a file holds no card. This rule holds whether or not the check catches it. Do not try to defeat the check.
- Use ONE Travel OS to send bulk marketing mail, or anything that would breach CAN-SPAM or the TCPA.
- Upload a trip photo you have no right to use, or one showing a recognizable person who has not agreed to be shown to the trip’s travelers. Before a trip photo is accepted, the person uploading it must confirm both, and ONE Travel OS records who confirmed it, when, and the words they agreed to. We remove a photo’s location and camera details before we store it. Whether you may show it is yours to answer.
We may suspend an account that is doing any of this, and we will tell you why.
6. Fees
ONE Travel OS is priced per seat: $9 per seat per month. A seat is a person who can sign in to your agency’s account. Admins and advisors both occupy one, because both use the product. Someone you have offboarded stops counting when their access ends, not before. What you owe for a period is the number of seats on your account at that price.
If your order or the quote you accepted says something different, that document controls, and it sits alongside these terms.
Invoices are due on the terms stated on them. We may suspend service for an account that is materially overdue, after telling you first. Fees are exclusive of tax, and we do not refund partial periods except where the law says otherwise.
A separate thing that is easy to confuse. ONE Travel OS can also collect your planning fees from your households, through hosted Stripe Checkout. That money is yours and settles to your Stripe account, or the host agency’s, depending on how you configure fee routing. Stripe’s terms govern that flow. We are not a payment processor, we do not hold household funds, and no card number ever reaches ONE Travel OS.
7. ONE Travel OS produces records, not advice
ONE Travel OS calculates expected commissions, advisor splits, payout runs, ACH files and 1099-NEC forms. All of it is arithmetic on what you entered. It is not tax advice, accounting advice, or legal advice, and it is not a substitute for a bookkeeper or an accountant.
You are responsible for the accuracy of what you file and what you pay. Check a 1099 before you furnish it. Check an ACH file before you send it. Where a supplier disputes a commission or an advisor disputes a split, the answer lies in your records and your contracts, not in ours.
8. Third-party services
Running ONE Travel OS takes services from other companies: hosting, file storage, error reporting, e-signature, payments, and your own mail provider where you connect a mailbox. They are listed, with what each one gets, in the Data Processing Addendum.
Where you connect something of your own (a mailbox, a Stripe account, a signing service), your agreement with that provider is yours, and their outage is not our breach.
Google Maps. Where maps and address lookup are switched on, ONE Travel OS includes Google Maps features and content: address suggestions, the itinerary map, photographs of places, and links that open a place in Google Maps. Your use of them, and your advisors’, is subject to the then-current Google Maps/Google Earth Additional Terms of Service and the Google Privacy Policy.
Unsplash. Where destination photos are switched on, ONE Travel OS shows a photograph from Unsplash of where each trip is going, credited to its photographer. The photographs belong to their photographers and are shown under the Unsplash License; these terms give you no right to them beyond seeing them in ONE Travel OS.
9. Availability and change
We aim to keep ONE Travel OS available and to warn you before anything disruptive. We do not commit to an uptime figure in these terms; if your agreement includes a service level, that document governs.
We keep backups and test that they restore. That is not a substitute for you keeping your own exports of anything you cannot afford to lose.
We add and change features. We will not remove one you depend on without notice, and where a change alters how something behaves for your users, it ships with an update to the documentation.
10. Confidentiality
Each of us will protect the other’s confidential information, use it only for this agreement, and give it only to people who need it and are under the same obligation. Your agency’s data is your confidential information. This does not cover anything public, already known, independently developed, or required to be disclosed by law, and if the law requires it of us, we will tell you unless we are barred from doing so.
11. Warranties, and their limits
We warrant that we will provide ONE Travel OS with reasonable skill and care, and that we have the right to license it to you.
Everything else is excluded to the extent the law allows. ONE Travel OS is provided as it is. We do not warrant that it will be uninterrupted or error-free, that it will fit a purpose you have not told us about, or that the numbers it derives from your data will be right if your data is wrong.
12. Ending it
Either of us may end this agreement at the end of a billing period by telling the other. We may end it immediately, having told you, if you materially breach these terms and do not fix the breach within thirty days.
When it ends:
- Your users lose access.
- You have thirty days to export your data. Ask, and we will help.
- After that we delete your agency’s data, backups included, within ninety days, except anything we must keep by law, which is held under the same protections and used for nothing else.
If we ever discontinue ONE Travel OS altogether, you get at least six months’ notice and a full export.
13. Liability
Neither of us is liable to the other for indirect, incidental, special or consequential loss, or for lost profits, revenue, goodwill or data, however it arises.
Our total liability under this agreement is capped at the fees you paid us in the twelve months before the claim.
Neither limit applies to your obligation to pay fees, to either party’s breach of confidentiality, or to anything that cannot be limited by law.
14. Indemnity
You will defend and indemnify us against claims arising from data you put into ONE Travel OS that you had no right to hold, from your use of it in breach of section 5, and from your dealings with your own households, travelers, advisors and suppliers.
We will defend and indemnify you against a claim that ONE Travel OS itself infringes someone’s intellectual property.
15. Changing these terms
We may change these terms. If a change materially reduces your rights or increases your obligations, we will tell you at least thirty days before it takes effect, and you may end your subscription without penalty before it does.
We keep every previous version. If you need to know what you agreed to on a particular date, ask and we will show you.
16. Text messages
ONE Travel OS can send automated text messages about a trip (a signature request waiting, a deadline falling within the day, an overdue invoice) and a verification code when somebody first gives us a number. They are never marketing.
The messaging program
The program is ONE Travel OS Notifications, operated by TacLine LLC, which owns ONE Travel OS. It sends from one shared toll-free number, (833) 270-2750.
- Message frequency varies, because a message is sent only when something on a trip needs the recipient; it is driven by your bookings, not by a schedule.
- Message and data rates may apply, under the recipient’s own agreement with their mobile carrier.
- Reply STOP to any message to stop them, and HELP for help. Both work from any phone.
- It is transactional and never marketing. No promotional message is sent over this number, and there is no part of ONE Travel OS that lets an agency, an advisor or us compose one.
Mobile numbers and text-messaging consent are never sold, and never shared with third parties or affiliates for marketing or promotional purposes. They reach the messaging provider that delivers the message and nowhere else, and are excluded from analytics, advertising and partner arrangements. The privacy policy section on text messages is the fuller statement.
Nobody is texted because a number was recorded. A person is texted only after they have ticked a box agreeing to it and then confirmed the number by entering a code we sent to it, and either half can be withdrawn from their own settings, or by replying STOP to any message. Consent is not a condition of anything under these terms, and refusing or withdrawing it changes nothing else about the subscription.
Replying STOP stops the automated messages from that number. It does not stop an advisor writing to their household from the agency’s own line, which is ordinary correspondence between them and is not part of this program.
17. Law, and disagreements
This agreement is governed by the laws of the State of New York, without regard to its conflict-of-laws rules. The state and federal courts sitting in Putnam County, New York have exclusive jurisdiction, and we each consent to that venue.
Before either of us files anything, we will each put the problem in writing to the other and talk about it for thirty days.
18. The rest
Assignment. Neither of us may assign this agreement without the other’s consent, except to a successor of the whole business.
Notices. Notice to us goes to onetravelos@taclinetech.com and to 418 Broadway STE R, Albany, NY 12207. Notice to you goes to your agency’s administrators.
Entire agreement. These terms, your order or quote, and the DPA are the whole of what is between us on this subject, and they replace anything said beforehand.
Severability. If a court strikes a clause, the rest stands.
No waiver. Not enforcing something once does not give it up.
Changes to these terms
| Effective | What changed |
|---|---|
| 11 October 2026 | Section 5 now covers trip photos. Your advisors can upload their own photo for a trip, and households see it in their portal. You may not upload one you have no right to use, or one showing a recognizable person who has not agreed to be shown to the trip’s travelers. The uploader confirms both before the photo is accepted, and ONE Travel OS records who confirmed it and when |
